Akcepta website and platform terms
Rules for using the website, contact forms and access to the Akcepta platform.

1. Operator and scope
These terms define the rules for using the Akcepta website, information materials, contact forms and access to the Akcepta platform as a SaaS service or individually deployed solution.
The operator is NGITech Sp. z o.o. Contact: office.pl@ngitech.org.
2. Nature of the service
Akcepta is a platform for preparing, versioning, approving and rolling out organizational documents, including policies, rules, procedures and rollout checklists.
The platform enables notifications, employee acknowledgements and rollout evidence. Akcepta does not replace individual legal, tax, HR or audit advice.
3. Account and permissions
Access to the application panel requires a user account. Users must protect login credentials, keep them confidential and use the platform according to permissions granted by their organization.
The organization administrator is responsible for correctly adding users, recipients, permissions, organization data and documents entered into the system.
4. Customer content
Documents, attachments, checklists, recipient lists, campaigns and data entered into the platform are customer content or content of the organization using the service.
The customer is responsible for the legality of content, lawful grounds for processing recipient data and the adequacy of documents sent to employees or contractors.
5. Plans, payments and limits
Akcepta may be offered as a free plan, paid annual plans or an individual model for larger organizations. Feature scope, recipient limits, notification sending, custom SMTP or dedicated deployment depend on the selected plan.
The free plan is intended for testing a limited process. Paid features may require payment, offer acceptance or a separate agreement. Prices displayed on the website may be gross or net as described in the offer and sales document.
6. Availability and changes
The operator may develop, change or disable selected platform functions if required for technical, security, legal or product reasons.
Planned maintenance and significant changes may be communicated in the panel, by email or by another accepted method. Individual deployments may be subject to separate SLA rules.
7. Prohibited use
The platform must not be used unlawfully, in violation of third-party rights, system security, data protection rules or to send spam.
Users must not attempt to bypass security measures, perform penetration testing without consent, scrape data, introduce malicious code or distribute unlawful content.
8. Liability
The operator provides platform functions with due professional care within the scope of the service.
The customer is responsible for organizational decisions, document content, recipient scope, lawful processing grounds and assessing whether generated documents require consultation with a lawyer, data protection officer or compliance specialist.
9. Complaints and support requests
Technical reports, complaints and questions may be sent to office.pl@ngitech.org. A report should include the issue description, user email, organization name and information needed to reproduce the event.
The operator responds within a reasonable time, considering the nature of the request, customer plan and security priority.
10. Final provisions
The terms may be updated due to feature, pricing, legal or organizational changes. The current version is published on the website.
If the customer has concluded a separate agreement with the operator, that agreement prevails where it regulates a matter differently.
